2. Purpose
This Manual enables members of the public to understand the categories of records held by the private body, how to request access, and how personal information is processed and safeguarded.
3. PAIA Guide
The Information Regulator publishes a guide explaining how to use PAIA and POPIA. It is available through the Regulator’s PAIA resources.
4. Records available without formal request

5. Records maintained under legislation
Where applicable, records may be maintained under company, tax, employment, consumer, electronic communications, intellectual property, POPIA, PAIA and other commercial legislation. Inclusion does not imply that every statute applies to every record or activity.
6. Subjects and categories of records
- Corporate and governance records.
- Financial, accounting, tax, banking and transaction records.
- Customer, subscriber, contributor, supplier and commercial relationship records.
- Products, intellectual property, licences, content and platform records.
- Human resources and contractor records.
- Information technology, access, security, backup, incident and communications records.
- Legal, dispute, regulatory and compliance records.
7. Processing of personal information
Personal information may be processed for enquiries, access, purchases, fulfilment, customer and supplier administration, commercial relationships, contributor engagement, finance, compliance, security, marketing where permitted, website operation and legal claims. Data subjects may include customers, prospects, subscribers, contributors, suppliers, service providers, employees, applicants, representatives and website visitors.
Appropriate safeguards are applied to authorised recipients and cross-border service providers consistent with POPIA. Reasonable security measures may include access controls, authentication, encryption where appropriate, backups, confidentiality obligations, supplier controls, retention controls, secure disposal and incident management.
8. How to request access
Complete the Information Regulator’s prescribed Form 2 for a request for access to a record, identify the record sufficiently, state the preferred form of access and provide proof of identity and authority where applicable. Submit the request to info@ebksolutions.co.za.
9. Fees, grounds and remedies
Prescribed request, search, preparation, reproduction or delivery fees may apply. Access may be refused on grounds permitted by PAIA, including protection of privacy, confidential commercial information, safety, privileged material and other legally protected interests. A requester dissatisfied with a decision or non-response may use remedies available under PAIA, including a complaint to the Information Regulator or an application to a competent court, subject to applicable procedures and time limits.
